Position: Workshop Coordinator

Supervisor: Jenna Hanson
Status: Full-time, Exempt

Responsibilities:

  1. Coordinate all aspects of scheduling workshops, including but not limited to:
    • Scheduling the date, time, and location of workshop site
    • Ordering appropriate AV equipment
    • Managing all invoicing for workshop sites, printing, and mailing
    • Designing direct mail workshop postcards and coordinating the outsourced printing of postcards
    • Coordinating the mail list and working with mail house representative
    • Providing advocates and front office staff with all workshop information
    • Creating PDFs for all materials
    • Working with web administrator to assist in e-blasts and to ensure all information is posted to the website
    • Creating reminder emails for all participants
    • Setting up corresponding livestream events on Vimeo livestream website
    • Scheduling sign language interpreters when requested and handling payments to interpreters
  2. Manage PIX database for all workshop information
  3. Assist with alternate methods to promote workshops
  4. Manage the scheduling of all in-house workshops and large conference room activities
  5. Execute administrative duties as required by various projects
  6. Assist with coordination of larger conferences and events when necessary, including logistics, registration, signage, food, AV, onsite staff coordination, etc.
  7. Other duties as necessary

Requirements:

  • College degree preferred
  • Excellent verbal and written communication skills
  • Accuracy and attention to detail necessary
  • Strong organizational skills
  • Strong ability to multitask
  • Ability to prioritize and complete time sensitive projects
  • Ability to work independently and participate in team planning
  • Knowledge of/sensitivity to issues related to persons with disabilities
  • Knowledge of Microsoft Word and Excel
  • Design software (InDesign, Photoshop) knowledge preferred, or ability to learn
